Frequent Email Group Questions

Why am I not getting KC emails?

Our Council relies on our email distribution group to contact the members about our upcoming events and other council news. These messages are identified by the [KC] appearing in the subject line.
Currently, over 150 email addresses are registered but several for you are not getting these emails.

Here are a few reasons why:
1. We do not have your email address.
2. We were getting your mail bounced back and your address was automatically removed. Many times, this is caused by an invalid email address. But sometimes this is a spam detection problem that I resolve between your internet service provider and our service provider. This has occurred several times with AOL and RoadRunner.
3. The email address we have is invalid. Due to excessive spam being received, some email providers no longer send bounce-back messages to notify us of closed or invalid email addresses.
4. The email address we have is old and is no longer being checked. Many email providers have dramatically increased the amount of email saved, so it may be years before your inbox fills up and we get a bounce-back message from your inactive email address.
5. Our mail is being stopped by your internet service provider. Many workplaces now discard any message suspected to be spam or personal in nature, which impacts messages from list servers like ours. We may need to use your personal email address.
6. Our mail is being stopped by your spam filter. Accidentally (or intentionally) clicking on a "This is Spam" button will blacklist any mail coming from that address. If this happened, our @sjnkc.org domain name needs to be removed from your blacklist, or added to your whitelist.
7. You get so much spam that you just delete everything. A rule can be set up to transfer all KC email to a separate folder in your inbox.

Why do my emails to the KC eGroup get bounced back?

Like most email distribution lists, our eGroup accepts emails only from email addresses that are registered with the group.  This keeps us from being inundated with spam.  Sometimes, the address you have registered is not the actual address that sends the email.  An example is the @sjnkc.org mail addresses used on this website.  We may need to revise the email accounts you have registered with our eGroup.

Be aware that you can have multiple email addresses registered with only one designated to receive Council emails.  This allows you to use several accounts to send messages but will not receive duplicate messages.

Why are my emails to the KC eGroup delayed from being distributed?

Our eGroup has several controls that require me to review some emails prior to being distributed to the group.  This could delay the email by a day.

These controls include:

1. There was an image or attachment that caused the email to exceed 100 KB in file size.  This is in place to help control excessively large emails that would impact members using dial-up or already full inboxes.

2. There were too many recipients on the message.  This may indicate spam from a hijacked PC.

3. The spam filters marked the email as spam due to it containing certain words, images, suspicious header content or was from a suspected spam source.

Note that any email sent containing a virus will be discarded.

How do I reduce the number of KC messages that I receive?

Contact the Web Administrator to place you on a daily digest.  All of the KC email sent during a day will be sent to you as one email.

How can we reduce the number of messages sent on one topic?

Reply only to the sender unless you have a specific reason for all group members to receive your reply.

What happens if a mark a KC email as Spam?

Marking KC email as spam could cause all KC email to be blocked by your service provider.  This would also block KC email to all members on the same service provider.
